FleetPortal is the first web tool you will need to set up. It ensures all of your vehicles—or specific groups of vehicles—are running CoPilot with the same settings. (Otherwise, settings need to be entered individually on each device running CoPilot.) You can access FleetPortal with your Trimble Identity (username and password).
In FleetPortal, you create CoPilot settings and assign them to specific groups of vehicles or to all of your drivers at once. If you are using the Account Manager, the way you set up FleetPortal depends on whether you chose at the time of your CoPilot purchase to assign licenses to:
Vehicle-Based Fleets (Most Common)
These are typically fleets who are installing CoPilot on company equipment mounted in a vehicle or mobile devices assigned to specific vehicles. The first time you log in to FleetPortal, we recommend the following steps:
- Click on the Company Administration button on the top right-hand side of the screen. You should see that the vehicle IDs in the Account Manager were automatically imported into FleetPortal.
- Create groups of vehicles running CoPilot. You may want to create a single group or multiple groups based on types of vehicles, business units, locations, etc.
- Create and assign Configuration Profiles to vehicle groups. Configuration Profile settings allow you to monitor the driver's compliance with a route (if you are separately licensed for route compliance), and limit the changes a driver can make to the settings on his or her CoPilot app.
- Create and assign Vehicle Routing Profiles to vehicle groups. A Vehicle Routing Profile contains the settings that tell CoPilot how to create the best routes for your specific vehicles and preferences.
Mobile Device Based Fleets
These are typically fleets who are installing CoPilot on company owned mobile devices that may be assigned to different vehicles or different drivers at different times. Because FleetPortal settings are assigned to vehicles or drivers, mobile device IDs will not automatically be imported into FleetPortal from Account Manager.
You will need to separately add vehicle IDs to FleetPortal, either manually or programmatically using our Fleet APIs. (Those vehicle IDs will then need to be linked with mobile devices IDs at the time of log in to CoPilot. This can only be done programmatically using CoPilot's URL launch feature.) Once you have created your vehicle IDs in FleetPortal, we recommend the following steps:
- Create groups of vehicles running CoPilot. You may want to create a single group or multiple groups based on types of vehicles, business units, locations, etc.
- Create and assign Configuration Profiles to vehicle groups. Configuration Profile settings allow you to monitor the driver's compliance with a route (if you are separately licensed for route compliance), and limit the changes a driver can make to the settings on his or her CoPilot app.

- Create and set a default Configuration Profile that applies to all drivers. Configuration Profile settings allow you to monitor the driver's compliance with a route (if you are separately licensed for route compliance), and limit the changes a driver can make to the settings on his or her CoPilot app.
- Create and set a default Vehicle Routing Profile that applies to all drivers. A Vehicle Routing Profile contains the settings that tell CoPilot how to create the best routes for your specific vehicles and preferences.
